This Privacy Policy explains how DutyWire Technologies LLC (“DutyWire,” “we,” “us,” or “our”) collects, uses, and shares information when you use our mobile applications, websites (including dutywire.com), and related services (the “Services”). If you do not agree with this Policy, please do not use the Services. You can view this Policy in-app under Profile > About > Privacy Policy and on dutywire.com/privacy-policy.
1. Scope and Who We Are: This Policy applies to: the DutyWire mobile app; our websites; and communications related to the Services (e.g., support emails). The Services are operated by DutyWire Technologies LLC.
2. Information We Collect
2.1 Information You Provide
Account and profile: display name, email, optional phone number, and profile details you add. Passwords are handled by our authentication provider and are not stored in plaintext by DutyWire. If you enable Remember Me, your email and password are stored securely in your device's Keychain to prefill sign-in; you can disable this at any time.
Calendars and events: calendar names, events, shift stamps, reminders, locations, notes, recurrence, and other details you enter.
Shared calendar data: member display names, roles, member IDs, invite codes, and optional invitee email addresses you provide.
Records and attachments: record folders, journal/record entries, notes, tags, and files you upload (photos, PDFs, documents).
Support and feedback: messages you send to us (including support@dutywire.com) and the information you include.
2.2 Local-Only Data (Stored on Your Device Only)
Stored locally and not sent to DutyWire servers:
Money and Budget entries, expense categories, savings goals
Budgeting calculator inputs
Daily Check-ins (sleep, stress, mood, notes)
Vitals and custom metrics
Workout routines, routine assignments, skipped routine dates
Profile photo (current version)
Reminder overrides and local notification preferences
App preferences and local usage counters (e.g., Pro usage tracking)
Deleting the app or clearing local data removes this local-only data from your device.
2.3 Information Collected Automatically
Device and log data: device type, OS version, app version, language, IP address, request timestamps, and error/diagnostic logs generated when you use cloud-backed features or the website.
Push notification identifier (if enabled): device token used to deliver push notifications.
2.4 Information From Third Parties
App Store and StoreKit: subscription product IDs, transaction/receipt identifiers, subscription status, and related purchase metadata.
Apple Push Notification service (APNs): delivery of push notifications.
Email delivery: Amazon SES to send verification and service emails; not used for marketing.
We do not receive full payment card details.
3. How We Use Information: To provide and maintain the Services (auth, calendars, records, attachments); deliver notifications (calendar reminders and service updates) when enabled; manage subscriptions and purchase restoration; respond to support; improve reliability/security, debug, and prevent fraud; comply with legal obligations.
Legal bases (where applicable, e.g., EEA/UK): contract performance, legitimate interests (security, fraud prevention, reliability), consent (for optional notifications), and legal obligations. Data linked to you may include:
Contact info: display name, email, optional phone number
Identifiers: user ID, device token (push notifications)
User content: calendar events, record/journal entries, attachments you upload
Purchases: subscription status and receipt identifiers
Diagnostics/log data: IP address, app version, timestamps, error logs. Data not collected by DutyWire servers (local-only): Money and Budget data, budgeting calculator inputs; Daily Check-ins, vitals, workout routines; profile photo (current version); reminder overrides and other local preferences. We do not use third-party ad SDKs and do not engage in cross-app tracking for advertising. We do not use third-party analytics SDKs beyond platform diagnostics.
4. How We Share Information: We do not sell your personal information. We share only:
Service providers: vendors that process data on our behalf (e.g., AWS: Cognito, AppSync/DynamoDB, S3, SNS/APNs, SES; Apple App Store and push).
Legal and safety: to comply with law, respond to lawful requests, protect rights/property/safety, and enforce terms.
Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, with confidentiality protections. With your consent or direction.
Shared calendars: data you add to a shared calendar (including event details) is visible to members you invite. Shared calendar metadata (member display names, roles, invite codes) may be visible to other members of that shared calendar.
External links: Information HQ and other links may open external sites with their own privacy practices.
5. Cookies and Similar Technologies (Website): What we use on iOS: When you use the iOS/iPadOS app (including the in-app browser), we set only essential cookies needed for security, authentication, and load-balancing. We do not set advertising or analytics cookies on iOS, and we do not track you across apps or sites. What we use on other platforms/browsers: On dutywire.com, in regular browsers, we may use optional analytics and performance cookies to understand feature usage. You can manage these choices via our cookie banner and browser settings. No cross-site tracking: We do not sell user data. We do not use cookies or similar technologies to track you across third-party apps or websites. Controls: You can clear cookies in your browser settings. iOS users see an “essential-only” notice; web users can manage preferences through the banner’s “Manage cookies” link. Data collected via cookies (if any): For essential cookies, we collect only technical identifiers (e.g., session ID), device/browser type, and basic event data needed to operate the service. Retention: Essential cookies persist only as long as necessary for the session or a short fixed period; optional cookies (web only) follow their stated duration in the banner. Third parties: If you re-enable analytics on the web, list the provider (e.g., Google Analytics), what it collects, and link to its controls; these are disabled for iOS traffic by default.
6. Data Retention: Cloud-backed personal information: kept while your account is active and as needed to provide the Services. After account deletion, certain cloud-backed personal information is deleted/anonymized from active systems within ~30 days, unless retained longer for legal, security, or operational reasons. Backups/logs may persist briefly. Shared calendar data: events/calendar content in shared calendars may remain visible to other members after a user deletes their account. Local-only data: remains on your device until you remove it or delete the app.
7. Your Choices and Rights: You can access/update/delete in-app data; manage notifications in device settings and in-app where available; disable Remember Me to remove stored credentials from your device Keychain; unsubscribe from non-essential emails (service/security emails may still be sent).
Rights (where applicable, including EEA/UK, Canada, certain U.S. states incl. California): access, correct, delete, object/restrict processing, request portability, and lodge complaints with a supervisory authority. California: we do not sell personal information or share it for cross-context behavioral advertising. You may have rights to know, delete, correct, opt out, and limit certain uses of sensitive personal information as provided by law. To exercise rights, contact support@dutywire.com. We may verify your identity.
8. Account Deletion: You can delete your account in the app under Profile > Settings > Delete Account. If you cannot access the app, contact support@dutywire.com (please email from the address associated with your account). When you delete your account: your authentication account is removed; certain cloud-backed data (record folders, journal entries, attachments) is deleted from active systems within ~30 days, subject to legal/operational needs; shared calendar data may remain visible to other members; local-only data stays on your device until you delete the app or clear local data. Deleting your account does not automatically cancel subscriptions—manage them in your Apple ID subscription settings.
9. Data Security: We use technical and organizational measures to protect information (e.g., TLS, AWS security controls). No system is 100% secure. You are responsible for safeguarding your credentials and device.
10. International Data Transfers: Data may be processed/stored in the United States and other countries where our service providers operate. We use safeguards consistent with this Policy and applicable law.
11. Children’s Privacy: The Services are not intended for children under 13 (or a higher age where required by local law). We do not knowingly collect personal information from children under that age. Contact support@dutywire.com if you believe a child has provided personal information.
12. Third-Party Links and Content: Links to third-party sites or content have their own privacy practices. Please review their policies when you visit or use those sites.
13. Changes to This Privacy Policy: We may update this Policy periodically. We will update the “Last updated” date and may provide additional notice for material changes. Continued use after changes means acceptance.
